Rules for staff travel

Baggage

Short-haul flights (UK and Europe):

  • 1 free checked bag of up to 20 kg per person, for employees and their qualified relatives.
  • 1 free cabin-size bag of up to 10 kg. It must be checked in at the standby desk with your other luggage, or fit under your seat.
  • On EI flights operated by Emerald Airlines (EI3000–3999): 1 free cabin-size bag of up to 7 kg that must fit under your seat. It can't be checked in for free on these flights.
  • Infants are allowed a buggy/stroller only.

Long-haul flights (USA, Canada, Barbados):

  • 2 free checked bags of up to 23 kg each for employees and qualified relatives on standby concession tickets.
  • 1 free cabin bag of 10 kg can be taken on board only on long-haul A330 flights. On NEO services it can be checked in for free, or it must fit under your seat.
  • Children aged 2–11 get the same allowance as adults. Infants (0–23 months) get 10 kg and a buggy/stroller on USA and Canada flights.

Cabin bags at the gate:

  • You can only bring a bag to the gate if it fits under your seat (a handbag, laptop bag, backpack or holdall).
  • If ground staff decide a cabin bag is too big, it is put in the hold and you pay EUR35 per bag.
  • On concession travel you can't pay for a cabin bag online, at the standby desk or at the check-in desk.

On all flights:

  • You can pool bags with your family only when everyone travels on Aer Lingus staff tickets.
  • Excess charges apply if you are over your allowance, and for golf clubs, skis and other oversized items.
  • Normal allowances apply to excess charges and to full-fare revenue bookings.

Check-in

Standby passengers check in at the check-in desk or the standby desk:

  • Long-haul: 3 hours before travel
  • Short-haul: 2 hours before travel

Boarding, seats and upgrades

Revenue and duty guests have priority on available seats. At your departure point and at stops along the way, you may be asked to give up your seat or move for a revenue guest.

Special services, children and pets

Children under 16 on staff standby or concession tickets must travel with an adult over 16 who holds the same type of concession ticket. Aer Lingus doesn't accept young passengers under 16 travelling alone on EI concession tickets.

If your child is over 12 and under 16 and has to travel alone, you must buy a full revenue ticket online at www.aerlingus.com. Aer Lingus doesn't accept young passengers under 12 on full revenue tickets either.

Dress code

On a staff ticket you represent the airline. Use good judgement and, out of consideration for customers, dress so that you don't stand out. The rule is neat, clean smart casual. Jeans, T-shirts and casual shoes are fine, within these limits. Not acceptable:

  • jeans, trousers or dungarees with cut-off or frayed hems, rips or holes
  • overly revealing or sheer clothing
  • sportswear or activewear (gym clothes)
  • football or other sports tops or shorts
  • beach clothing, including swimwear and beach footwear
  • clothing with questionable or offensive wording or graphics
  • shorts of any length

If you or your nominees aren't suitably dressed, you can be refused travel.

How to behave:

  • Don't draw attention to travelling on a privilege ticket: no talking shop, and don't identify yourself as airline staff without need.
  • Make sure your qualified travellers understand the limits of your privileges and behave in a way that reflects well on Aer Lingus.
  • Breaking these rules can lead to disciplinary action or loss of staff travel for you and your family, and is reported to your airline, line manager, HR or interline office.

Changes and refunds

Because you can be asked to give up your seat for a revenue guest, always carry enough back-up tickets.

Good to know

Travel privileges are for holidays only. You and your relatives can't use them for business travel.

Questions, answered

How early do I need to check in for an Aer Lingus standby flight?

3 hours before long-haul flights and 2 hours before short-haul flights, at the check-in desk or the standby desk.

Can I take a cabin bag on an Aer Lingus standby flight?

Only if it fits under your seat. A bag that ground staff consider too big goes in the hold for EUR35, and you can't prepay for a cabin bag on concession travel.

Can I wear shorts on Aer Lingus?

No. Shorts of any length aren't permitted. Jeans, T-shirts and casual shoes are fine if they are neat and not ripped or frayed.

Can my child fly alone on an Aer Lingus staff ticket?

No. Under-16s must travel with an adult over 16 on the same type of concession ticket. A child over 12 and under 16 who must travel alone needs a full revenue ticket from www.aerlingus.com.

Can I share my baggage allowance with my family?

Yes, you can pool bags when your family travels with you on Aer Lingus staff tickets.

Which airlines can I fly on ZED fares?

It depends on the ZED and interline agreements of the airline you work for. In Staff Airlines, the partner airlines filter shows only the flights you can board.

Airline rules change often and this summary may be out of date. Always confirm important details with Aer Lingus’s staff travel department or in the booking tool you use before you travel. Staff Airlines is not responsible for denied boarding, missed flights or other losses. Found a mistake? Let us know.
