Rules for staff travel

How to list for standby on Air Astana

Book and issue ZED and other rebate tickets in myIDTravel or another agreed staff travel platform, as your own airline's rules require. Tickets are standby (subload) unless they are issued as confirmed under the applicable agreement.

  • These rules cover flights operated by Air Astana and FlyArystan.
  • Staff travel is for personal trips only, not business travel.
  • Seats are always space available and never guaranteed. If you must fly on a particular flight or date, be ready to buy a commercial ticket.
  • Only eligible employees and their registered beneficiaries can travel, as defined by your home airline's policy and the ZED or interline agreement.

Visas and travel documents

Passports, visas, health and immigration requirements are entirely your responsibility, as are accommodation, ground transport and other personal arrangements.

Carry a valid staff ID card. Beneficiaries must carry a colour copy of the employee's ID if their airline requires it.

Baggage

You and your beneficiaries get the same free allowance as paying passengers in the class shown on your ticket:

  • Economy: 1PC, 23 kg each
  • Business: 2PC, 32 kg each

Excess baggage is charged at normal commercial rates. Lost, delayed or damaged bags are handled under Air Astana and FlyArystan's general conditions of carriage, and compensation may be limited. On service tickets, including ZED, baggage claims fall under Air Astana's Service Travel Policy: compensation is capped and can't be more than the value of the service ticket you bought (clause 2.25).

Check-in

On separate tickets you won't be checked through. Check in for each flight separately and leave enough time between connections.

Boarding, seats and upgrades

  • Seats are assigned at check-in or at the gate. A specific seat in advance isn't guaranteed.
  • Follow every instruction from ground staff, security and cabin crew, including seat or cabin changes and, rarely, being offloaded.
  • No upgrades on an Economy rebate ticket.
  • On personal rebate tickets, confirmed or standby, you can't use airport business lounges, Air Astana's own included, unless your agreement explicitly allows it.
  • In Business Class you are served after paying passengers, and your meal choice may be limited.

Dress code

Dress neatly and appropriately, in keeping with the airline's professional image. Don't draw attention to yourself as a staff passenger, and avoid anything that could inconvenience paying passengers.

Not allowed on rebate tickets, on duty or off duty:

  • tracksuits
  • jeans with holes, or worn-out or loose jeans that show your back or stomach
  • short singlets or tops that show shoulders or midriff
  • skirts or shorts more than 20 cm above the knee, gauzy hose or leggings
  • low-cut or see-through dresses and blouses
  • flip-flops
  • clothing with offensive or questionable graphics
  • too much perfume or make-up

If you don't follow the dress code, you may be denied boarding.

Changes and refunds

Any change, re-routing or switch to a commercial ticket is at your own expense.

Good to know

  • Don't add a frequent flyer or Nomad Club number to a rebate booking. You don't earn miles on these tickets.
  • Misusing staff travel can lead to immediate loss of staff travel privileges, temporarily or permanently, for the employee and all beneficiaries, and possible disciplinary action by your employer.
  • It's your job to know and follow both Air Astana's rules and your own airline's staff travel policy.
