British Airways staff travel & standby

IATA BAICAO BAWUnited Kingdom ›

If your British Airways ticket number starts with 125, your listing already exists; on a ticket issued by your own airline, list on idtravel.ba.com, ideally 72–30 hours before departure. Standby passengers can't check through to a connection, and commercial passengers always have priority. Staff Airlines shows estimated open seats on British Airways flights before you go.

How to list for standby on British Airways

The agreements cover flights operated by BA, BA CityFlyer and BA Euroflyer. All tickets must be closed to BA, and standby e-tickets must be issued in M class: BA's check-in system can't process a ticket with a class mismatch.

  • If your ticket number begins with 125, your listing has already been created and you don't need to list separately. Make all changes in myIDTravel.
  • If your ticket was issued by your own airline, list at idtravel.ba.com

To list on the BA site:

  1. Have your ticket number ready, and the passenger names exactly as they appear in the passports.
  2. List between 72 and 30 hours before departure, as BA recommends. For weekend travel, list by the Thursday before at the latest: bookings made on a Friday aren't picked up until the following Monday.
  3. Fill in the Flight Choices section. It helps BA's check-in system allocate seats, for example whether you're willing to be split across flights when travelling with others on the same ticket type.
  • BA recommends one-way bookings, as they are easier to manage online.
  • The airport pair on your coupon must match the flight you want to take; BA can't accept coupons for a different airport pair.
  • If you list less than 24 hours or more than 72 hours before departure, you may have trouble at check-in, because BA won't have been able to make the necessary adjustments.
  • To check loads on an existing listing, use the manage process.
  • The listing site rejects users for valid reasons, such as an incorrectly issued ticket. If that happens, go back to your own staff travel office. If you have problems with the site, first check that your e-ticket was issued correctly; if it was and the problem remains, tell your Staff Travel office.

Flights you can't use

The listing site at idtravel.ba.com won't let you list on embargoed flights. You can also ask your own staff travel office about staff travel embargoes on BA flights.

  • During Hajj, both duty and personal travel to and from JED is embargoed: BA133 LHR–JED and BA132 JED–LHR, every day of the week, dates to be announced.

Flights with these BA flight numbers are excluded from the agreement (the operator is shown):

Visas and travel documents

For international travel, every passenger needs a valid passport and the right visas for the destination, and also for the scheduled stops on the way, in case you have to be off-loaded there.

  • Some countries require Advance Passenger Information (API). BA needs it before check-in, entered in the Manage My Booking section of ba.com.
  • USA: for all travel to or from the USA, the listing site collects Secure Flight data before the listing is created: gender, first name and last name as in the passport, and date of birth. It is sent to the US authorities 72 hours before departure, or at the time of listing if that is less than 72 hours ahead.
  • USA: Visa Waiver passengers must also have an approved ESTA, ideally at least 72 hours before departure. Without it you can't fly BA to the USA. You don't need to give travel details or a US address, and an approved authorisation is valid for two years, so apply well in advance if you may travel to the USA in that time. Apply at https://esta.cbp.dhs.gov, which also shows who is covered by the Visa Waiver programme.

Baggage

Checked baggage is capped on all routes at 1 piece up to 23 kg in economy and 2 pieces up to 32 kg in business class. On routes where BA.com allows 2 pieces, contact Myidtravel.ba.com to have your booking amended before you travel, or you'll be charged excess baggage.

On duty travel, your checked allowance depends on your ticket type: JIDxxS1 gives you the business class allowance, YIDxxS1 the economy class allowance.

Cabin baggage:

  • One medium bag, up to 56 × 45 × 25 cm (22 × 17.5 × 9.85 in) and 23 kg / 51 lbs. You must be able to lift it into the overhead locker yourself.
  • Plus one laptop bag, or one briefcase, or one handbag.

On busy flights you may be asked, before commercial passengers, to check your hand baggage at check-in or at the gate. If asked, do as the airport staff say.

Check-in

Make sure you have finished check-in by 60 minutes before the scheduled departure.

On standby, you can check in on BA.com from 24 hours before departure when seats are available; you get a boarding pass once a seat is allocated. BA recommends checking in online only if you definitely intend to travel, and not selecting that you are checking a bag: you can do that at the airport.

At airports with self-service kiosks:

  1. Go to a kiosk at least 60 minutes before departure and follow the instructions on the screen carefully.
  2. Keep the boarding pass it prints: it shows your booking reference, which matters most if you don't get a seat number.
  3. If the boarding pass has a seat number, you're accepted. Go straight to the fast bag drop desk, then to the departures lounge and the gate. If it has no seat number, the kiosk tells you what to do next.

London Heathrow Terminal 5:

  • You must have cleared security at least 30 minutes before departure. BA recommends checking in at least 2 hours before departure.
  • Check in at a self-service kiosk. If you get a seat and have bags, go to Self service bag drop; with hand baggage only, go straight to security.
  • If you don't get a seat, go to the Staff travel desk, currently in Zone E. Have your bags tagged at any Bag Drop desk. Once you're accepted, drop the tagged bags at any bag drop desk, get your boarding pass and go straight to security.
  • If you're not accepted, relist online at https://idtravel.ba.com if the booking was made on your own airline's ticket, or in myIDTravel if you hold a 125 ticket. BA may also have moved you to the next flight automatically.

London Heathrow Terminal 3: check in and tag your bags at any eligible bag drop desk. There is no dedicated bag drop desk for staff passengers.

London Gatwick: BA flies from the South Terminal. Check in at a kiosk. If you get a seat, go to Bag Drop. If not, go to desk 251 in Zone C, which issues your boarding card and takes your bags if you're accepted. If you're not accepted, you're automatically listed on the next flight to your destination, if there is one the same day.

All other airports: go to the desk signposted for standby travel. If there isn't one, go to the World Traveller or Euro Traveller desk.

Duty travel on confirmed (positive space) bookings: where there are no kiosks, check in at the counter for the class you're eligible for (JID..S1 means business class, YID..S1 means economy). At LHR T5, if there's a problem with acceptance, go to desk E18 in Zone E.

Through check-in isn't available to standby (space available) passengers. Plan enough time to land and check in again at every stop on the way.

Boarding, seats and upgrades

Commercial fare-paying passengers always have priority. When two or more interline employees are on the same flight, the time each checked in at the boarding station sets the order for onloading and offloading, and for cabin upgrades and downgrades.

  • You can't request a seat on Staff Travel. If the flight is open, the check-in agent may ask whether you'd like an aisle or a window, depending on availability.
  • A seat given to you at check-in may still be changed for commercial reasons. Change seats or cabin whenever BA staff or crew ask.
  • Get to the gate early enough not to delay the departure. If you're accepted but no longer want to fly, tell a member of staff straight away so they can offload you: a no-show at the gate can delay the flight.

Special services, children and pets

  • No special services are available when you travel standby.
  • Special meals can't be pre-booked on a rebate ticket. If you or your nominees need a special diet for any reason, bring enough of your own food for the whole flight.
  • Infant safety seats can't be used on board by rebate passengers.
  • Children under 16 can travel on a rebate ticket only with an adult on the same type of rebate ticket.

Dress code

BA applies a dress code to rebate passengers, including nominees and children. Dress appropriately, be well-groomed, use your best judgment and be considerate of fare-paying customers in every cabin. Jeans, smart knee-length chino-style shorts, T-shirts and casual shoes are fine in any cabin, as long as you follow the basic rules below. If you change into sleepwear on a long-haul or overnight flight, be considerate about that too.

Not acceptable in any cabin:

  • Overly revealing or sheer clothing, including bare midriffs.
  • Sportswear or activewear.
  • Jeans with cut-off or frayed hems or holes.
  • Beach clothing, including swimwear and beach footwear such as flip-flops of any kind or V-style sandals that go between the toes.
  • Clothing with questionable or offensive wording or graphics.

How to behave:

  • Use ZED tickets only for holidays or for reasons directly linked to personal or family circumstances, never for any kind of business activity.
  • Don't hold a commercial booking for a flight as well as Staff Travel tickets.
  • Don't inconvenience commercial passengers or distract ground staff and crew from serving them. Make no unnecessary demands and don't obstruct the crew.
  • Accept it calmly if you don't get the flight, seat or meal you wanted.
  • Don't draw attention to yourself as a rebate passenger, and don't discuss the cost or conditions of your ticket with paying passengers.
  • Follow instructions from customer service agents, security staff and crew without argument, and cooperate fully if asked to change cabin or seat or to leave the aircraft.
  • Never compromise safety or security.

You're responsible for your own and your nominees' behaviour, and breaches may lead to disciplinary action. If staff of another airline or their nominees break the code of conduct on BA, the incident is passed to that airline's Interline manager for investigation.

Changes and refunds

To change your travel plans, cancel the original listing and create a new one. On a ticket starting with 125, make all changes in myIDTravel.

Refunds:

  • On tickets issued on BA 125 stock, cancel your booking before travel. Otherwise you may have to wait up to 7 days before you can apply for a refund in myIDTravel, by clicking on the ticket number.
  • Full refunds should reach your account within 7–10 days, depending on your bank.
  • Partial refunds, and refunds that have to be handled offline, usually arrive within 3 weeks of your request.
  • If your airline has a business class agreement, there's no differential refund when you aren't upgraded, because you still had higher priority and a larger baggage allowance.

Good to know

  • Under UK law, nobody except a BA employee may be accepted in the flight deck of a BA aircraft. Similar rules apply on BA's affiliate airlines.
  • BA strongly recommends comprehensive travel insurance. It can't offer any free special arrangements if you are injured or fall ill away from home, or lose money, documents or belongings.
  • Aircraft configurations vary by route. Every aircraft has an economy cabin: EuroTraveller within Europe, World Traveller on long-haul routes. Aircraft on international flights also have a business cabin: Club Europe within Europe, Club World on long-haul routes. Long-haul international aircraft have 3 or 4 cabins; some routes offer First, Club World, World Traveller Plus and World Traveller.

Can I change a British Airways standby booking in myIDTravel?

Yes, if your ticket number starts with 125: your listing is already made, and all changes are done in myIDTravel. To change your plans, cancel the original listing and create a new one.

Which booking class must my British Airways standby ticket be in?

Standby e-tickets must be issued in M class and closed to BA. BA's check-in system can't process a ticket with a class mismatch.

How much cabin baggage can I take on British Airways?

One medium bag up to 56 × 45 × 25 cm and 23 kg that you can lift into the locker yourself, plus a laptop bag, briefcase or handbag.

Can I check through to my connection on standby?

No. Through check-in isn't available to standby passengers, so leave enough time to land and check in again at each stop.

Can I wear jeans on British Airways as a staff traveler?

Yes, in any cabin, as long as they have no cut-off or frayed hems or holes. Sportswear, beachwear, flip-flops and revealing clothing aren't acceptable.

Which airlines can I fly on ZED fares?

It depends on the ZED and interline agreements of the airline you work for. In Staff Airlines, the partner airlines filter shows only the flights you can board.

Airline rules change often and this summary may be out of date. Always confirm important details with British Airways’s staff travel department or in the booking tool you use before you travel.
