Iberia staff travel & standby

Iberia says a listing isn't required for travel on flights operated by IB, I2 and YW. How it works:

• Ticket issued on plate IB 075: the listing is automatic through myIDTravel. Nothing to do.
• Ticket not issued on plate 075: list at the check-in counter at the airport on the day of departure. Iberia recommends being there at least 3 hours before the flight.
• E-ticket with an IB reference: you can make the listing on IB.com.
• Mandatory: have a copy of your electronic ticket number ready.

Your coupon must match the flight: IB doesn't accept coupons for a different airport pair.

Codeshare flights not operated by IB can't be used.

• For international travel, every passenger needs a valid passport and the visas required for the destination and for scheduled stops on the way, in case you are offloaded there.
• Some countries require advance passenger information (API) before check-in, including for travel to the US. To see who is covered by the Visa Waiver program, go to https://esta.cbp.dhs.gov

Checked baggage: 1 piece. No bag or item heavier than 23 kg/51 lbs is accepted, whatever the allowance on your flight. If something is heavier, repack it into separate bags: and if that takes you over your allowance, you pay the excess baggage charges.

Cabin baggage:

• One medium bag, up to 56 x 45 x 25 cm (22 x 17.5 x 9.85 inches) and 10 kg.
• Plus a laptop bag, or a briefcase, or a handbag.

Complete check-in 90 minutes before scheduled departure, to allow for the extra security procedures in place.

At airports with self-service check-in kiosks:

1. Go to a kiosk at least 60 minutes before your flight's scheduled departure.
2. Read the screen carefully: the kiosk tells you what to do next.
3. The kiosk prints a boarding pass with your booking reference. Keep it handy, especially if no seat number was assigned.
4. If the boarding pass has a seat number, you've been accepted: go straight to the departure lounge and gate.
5. If it has no seat number, follow the kiosk's instructions.

All LHR/MAD flights are handled by IB at its own check-in counters at "T5".

Through check-in isn't available to standby (space-available) passengers. Leave enough time to land and check in again at every stop on the way.

When several interline employees are on the same flight, the order of acceptance follows the time each one checked in at the airport counter or kiosk.

Seats:

• You can't request a seat on staff travel. If the flight is open, the check-in agent may ask whether you'd like an aisle or window seat, depending on availability.
• A seat given to you at check-in can still be changed for business reasons.
• Follow the requests of check-in staff and cabin and flight crew, and change seats if asked.

Upgrades: don't ask any IB staff member for one. If there are no seats left in the cabin you're eligible for on the day, you are considered automatically for the next cabin up, based on business and operational needs and as long as you meet that cabin's dress code.

• No special service requests are allowed on standby travel.
• Special meals can't be pre-booked on discounted tickets. If you or your eligible travelers need a special diet, bring enough of your own food for the whole flight.
• Infant car seats can't be used on board by discount passengers.
• Children under 16 can travel on a discount ticket only with an adult on the same type of discount ticket.

Wear appropriate clothes and keep a neat, clean appearance: it's a condition for getting on the flight. Avoid worn, torn or frayed clothing, anything with offensive slogans or images, and anything eccentric. Make sure your outfit suits the cabin you're flying in. If you don't meet the dress code, you may be refused boarding.

Refunds:

• Request a refund only through myIDTravel, within one year of the ticket's issue date.
• The money goes back to the credit card used to buy the ticket.
• IB completes the refund within 60 business days of receiving the request. That's internal processing time: when the money reaches your account also depends on your bank's terms.

Back-up tickets: buy every ticket you or your eligible travelers may need for the whole trip before leaving your base, because local stations can't issue discounted tickets.

IB strongly recommends comprehensive travel insurance for all employees and their eligible travelers. Iberia can't offer free special arrangements if you are injured or fall ill away from home, or if you lose money, documents or personal belongings.
